Fall Conference October 23, 2010

Rebecca asked via e-mail earlier in the week what PR had occurred, and what we know of: a. Hilary sent a message to the listserv; b. Judy placed the flier and announcement on the website; c. our conference is advertised on the Bioneers website.

We discussed other needed PR. Rebecca raised the point that we need to get together with Hilary after this is over, and we are reviewing how things went, we all need to plan a generic schedule with timelines, so that Hilary has what she needs at the appropriate times, and we understand what role the office would play.

While we discussed this, Rebecca filled out the Ithaca Journal form online, and the Ithaca Times form, using Hilary’s listserv message as a guide. Still to be done are the Tompkins weekly, the Finger Lakes Times community calendar, and the Citizen’s community calendar. None of us thought that posting posters everywhere was as necessary, but perhaps the office could do some of that. The forms were filled out quickly since upcoming events in the journal has a nominal 3 weeks time line (and its just over 2 weeks now). In addition we need an interview on WHCU, and insertion of the event onto their events calendar.

We next discussed food/beverages, and also discussed who would MC, other items needed. We will all need to be there early to set up chairs, make coffee, set up projector etc. Dale will get the key.

2. Sunset on Cayuga

We think that Sept 11 (Hilary’s e-mail re: Lakewatch) must be a mistake - it’s a Sunday! We do not want to have it either on 9/11 nor on a Sunday. If it’s actually the 9th or 10th , then the date and reservation should stand. Otherwise it should be cancelled and we will look elsewhere unless it appears possible. Hilary was asked to provide details – this makes no sense.

It appears that Friday Sept. 9 is available. We will go with that.

Alternative venue suggestions - Sheldrake – at a winery or Kidders Landing ; Americana winery – space? Roxy says they have a good restaurant.

Committee will correspond by e-mail, and schedule telecon as needed.
