Cayuga Lake Watershed Network
Doc. #2007-57
Outreach Committee Telecon
August 6, 2007
Present: Sharon Anderson, Judy Morehouse, Julie
Patterson, Judy Pipher, Roxy Johnson, Brendan Kearns
Discussion focused on wrapping up Lakefest issues pending.
1.Wegmans –have declined to provide cake or balloons, but
have provided a gift certificate for $25. Roxy will mail to Julie
so that she can use toward food purchases. Sharon will ask garden
center to donate balloons. Sharon has contacted Janet, who knows
someone who might donate a cake.
2. Julie can borrow either a 10’ x 10’ or 10’
x 20’ tent. We asked her to get the 10 x 20, and the plan
is that it will shelter the performers. Sharon is trying to borrow
one from Cornell. Sharon will specify tent locations and has arranged
with Park for setup of large rental tent on Friday
3. Sharon is bringing supplies from office including the 4 tables
which the Network owns (3 new lightweight, and one larger heavier
table).
4. Sarah and Roxy will coordinate circulating flyers in Ithaca,
Julie is handling east side, Diane (and Sally Eller) Interlaken,
Judy M (and Judy P) north end. We discussed the Seneca Falls Library
as a site – one of the Judy’s will do. Ruthanna Hawkins
graciously picked up flyers to post in T-burg. Sharon has taken
care of PR and will send out listserv announcement. Judy P will
call WHCU as well as send a note (copy to Sharon) to the “Jump
Start to the Weekend” publication of the Finger Lakes Times.
5. Door prize solicitations are going well.
6. We decided against the banner re-design this year, and Sharon
has spoken with Kinko’s re: the corrugated cardboard sign
replacements.
7. Judy P has updated the displays list as well as the list of
door-prize donors for acknowledgements (the ones for which she was
responsible). In the same folder is a proposed receipt for Wendi
Hunter, and proposed thank-you signs for performers and for other
donations (e.g. food). Until the balloons and the cake are determined,
the sign remains incomplete. Ruth Richardson will be asked to provide
a thank-you sign listing the door-prize donors.
8. Judy P will contact Peter Shuster re: icecream, and will remain
the point person for working with Peter. (This has been cancelled
because Peter's equipment blew up).
9. Julie will e-mail Wells and arrange to pick up containers (voids)
of water and ice from Wells.
10. Julie will stay on top of Board signups for tasks at Lakefest
and will remind Board to bring cookies. Judy will bring extra tray.
Julie is providing a cooler with extra ice. Judy P will bring a
large container with water and ice, as well as a small folding table
suitable for the Seneca Museum’s display.
11. Brendan will pick up Hickeys sound equipment and bring to site
by 11:00am or earlier. Sharon plans to contact Hickeys to see if
she can mail check and tax exempt form so that it isn’t necessary
to make contact with Brendan. Sharon provided him with her cell
phone number in case questions arise. He is available to help Keith
Tidball with signs. Keith Tidball volunteers to be in charge of
signage. Sharon is drawing up a list of what that entails.
12. Judy P provided Julie with condiments list and Julie will purchase
those. Julie will buy extra lemonade just in case, and has agreed
to bring 4 extra loaves of whole wheat bread. Paper and plastic
ware were purchased – list was provided and Sharon feels comfortable
that we have combined enough paper and plastic ware.
13. Kari will be asked to staff the Sciencenter display (Sharon
confirmed). Sharon also arranged for Cayuga Waterfront Trail to
display.
14. Sharon met with Compost Theater concerning their performance
needs.
15. Judy P will work with Sharon concerning finalizing tables/chairs,
calling Rick’s Rentals, confirming pickup and delivery and
billing.
16. Judy M called ShurSav re: food – and will check if they
can bill us.
17. Sharon will bring dots and map, and Judy M will have attendees
place dots on the map indicating their homes.
Next telecon Tuesday August 21 at 9:30am for a post-mortem. We
may have a new conference calling vendor at that time – Sharon
will keep us informed.
