Present: Julie Patterson, Roxy Johnston, Diane Emmons, Sharon Anderson, Judy Pipher

A lot has been accomplished in the intervening week in Lakefest planning.

Final Flyer: Diane having trouble with computer, will send Monday.

Board Signups: Ruth Richardson will manage the door prizes – contact her with outfits you plan to contact, so she can avoid duplications. Keith Tidball will handle everything concerning the signs. Sharon and Diane stressed to the Board the necessity of being on time and following through, reminding them the public arrives as early as 11:30am. Diane sent around revised list of volunteers following June Board meeting, and will continue to work with the members. .Ruth will bring her ground water model – we need to ask Soil and Water to bring their surface water model.

Display Invitations: Judy P sent out 14 display invitations – and has not yet called those w/o e-mails (Bioregional Project, Ecoquest Intl, Cortland County Soil and Water) nor re-contacted Tania Schusler concerning her double roles. Sharon asked Judy to tell the FLI rep. that she estimates 50 kids will attend.

Peter Shuster and Ice Cream: Consistency of Ice cream inadequate if not “fresh” according to Peter. Diane will check details of the permit with regard to noise ordinance so we can decide whether his generator could be located in the North parking lot without causing disturbance.

Electricity update: The city has the receptacle in a locked closet in washroom. Sharon has not heard back from facilities yet. If we get permission, we agree not to use an extension cord outside that someone could trip over. Sharon estimates distance of 25 ft to pavilion. So we would need a closeby small tent for band. Roxy inquired whether they could go acoustic – noted too loud for her taste when they use amplifiers. Linda Wagenet has speaker/mic (battery operated). Roxy will speak to her.

Large tent: Size is approximately 20’ x 40’ and may fit between washroom and pavilion. Don’t know how much space needed for tiedowns. Diane to inquire.

Children’s Garden update: The instructor, Leigh MacDonald is happy with the time slot. Activities planned include a Water cycle game (kids can come and go). Although most appropriate for kids aged 7 to 12, younger kids could participate with supervision. Turtle Quiz also planned. A lightening bug lights up with correct answers.

Tables: Roxy determined there are 22 picnic tables. Sharon thinks we can reserve tables and chairs (once we know how many need) at Ricks, and cancel 3 weeks in advance if Sarah can supply.

Parking: is free – need to emphasize online and in Announcements.

Floating classroom update: Roxy has 250 brochures. Need poster or announcement of location of M.V. Haendel. - Bill Foster, lead educator for the Floating Classroom, will be contacted by Roxy to see if he has a display for Lakefest.

Wegman’s update: They need a formal letter of request. Roxy will draft, Diane will print on letterhead and send. A full sheet cake is $42. Happy 10th Birthday Lakefest is agreed upon wording. Roxy will also ask for balloons.

Update on supplies: Diane provided.

135 clear cups for fruit or drinks increase to 400

125 to 150 desert plates increase to 400
75-100 paper plates increase to 400
All the above are items that will get used throughout the year if there are leftovers from Lakefest. Sharon says employ economy of scale

Roll of tickets. Paper bags for door prize tickets. Ruth will be tasked to figure out and purchase. Ruth will be asked to devise and implement a method of distributing door prizes.

Judy thought coolers for food storage unnecessary.
