Outreach Committee Telecon
June 7, 2007

The entire telecon focused on Lakefest planning. Responses are
also included.
1. Electricity
Diane had reported by e-mail that the Park and City could not provide
electricity to the pavilion. Second Wind is concerned about the
quality of sound with a small battery operated amplifier. Hickeys
said that the only thing we could do was to rent a (noisy) generator
since a DC/AC converter from automobile had insufficient power for
200W PA system. Diane had heard that a generator solution was inadequate
for sound quality earlier.
Sharon said that there was electricity in the washrooms. She is
negotiating with the city whether we can use power. Sharon found
that the Children’s Garden does not have electricity. Tom
Knight can do without power.
In any event there is no 220V, needed for Peter Schuster’s
ice cream maker. Judy will call Peter to see if he could make ice-cream
at home. Judy would purchase dry ice Friday in Rochester, and provide
styrofoam coolers to Peter with dry ice for keeping ice cream cold.
2. Calling Prospective Exhibitors
Judy has agreed to do this. Sharon said that Diane is not likely
to object. Sharon also reports that Janet wants to add names. We
suggested a few ourselves: namely
- TC Soil and water (they have a surface model – so does
CWN, but it would be preferable for someone else to exhibit)
- USGS (they have ground water model – so does Ruth Richardson,
but it would be preferable for someone else to exhibit)
- CCE – displays on Weeds Watch Out and Pledge Clean Water
- Cayuga Nature Center
- PRI
- Project WET
- MV Haendel
- Eco-friendly laundry system – Elaine Sweet.
Judy has found e-mail addresses for some names on list without
e-mails listed, and sent out 13 invitations by e-mail. Roxy provided
contact information for USGS and Cornell County Extension. Judy
is is updating our master list.
3. Sustainability Program
Sharon will contact Ethan Rainwater’s boss concerning possible
Lakefest Involvement – they are not doing Love Your Lake or
any water related activity – Ethan’s internship is up
in August
4. Tables and Chairs
Julie did not find any left on sale. Judy checked out (3 ft x 6-8
ft) tables – prices bottomed out at $69. Roxy double-checked
with Ricks Rental – cost is $6.50 per table, and $30 charge
for pickup and delivery (for total order). Judy suggests we rent
tables and chairs since they can be picked up and delivered –
considering the fact we may be short-handed this year, that seems
appropriate.
5. Banners
Roxy inquired – can put on buildings – county determines
rules for its own buildings. Greenstar might be an option.
6. MV Haendel
Roxy will inquire whether it could arrive closer to Cass Park at
about 2:30 (working on that currently)
7. Flyer and Website
Diane is working on map. Judy checked – google map doesn’t
have any restrictions posted on use – she supplied to Diane.
She used google map on the Lakefest announcement online (as a link
to the actual google website – that allows folks to find directions
etc. as needed). Flyers are not being distributed with membership
materials. Instead a brief summary of watershed events which Sharon
prepared including PR for Lakefest has been incldued. Judy has now
updated the website including a tentative schedule and the
google map.
8. History Walk (Vicky Armstrong)
Sharon will inquire whether she could cut back program from 1.5
to 1.25 hr starting at 3:30pm. Judy is concerned that present timing
makes this aspect of Lakefest pretty late – will there be
interested attendees? Sharon thinks it will appeal to niche attendees.
9. Children’s Garden
Sharon having trouble making actual contact. We are scheduled but
we don’t know the detail yet.
10. Boy Scout Helpers
Office will encourage them to volunteer to help at Lakefest
11. Miscellaneous
We need an update from Diane on how many paper plates, napkins,
cups, cutlery, plastic table cloths we have left over. Judy can
purchase at Outlet Mall Paper store these and will also buy permanent
serving utensils.
12. Volunteers List
Judy updated last year’s list and sent to Sharon so that she
can ask Board to begin stepping up. Diane provided augmented list
folllowing Board meeting. With Diane incapacitated, and Roxy not
able to attend this year’s Lakefest, and Niamh no longer on
the committee, we are pretty slim on OC volunteers. We need to ascertain
whether Judy M and Kari can help. (In Roxy’s stead, Brendan
Kearns from the WTP – Water Treatment Plant - will be available
all day for pickup, event assistance, and tear down. He will bring
the City WTP truck as well).
13. PR
Judy will contact the radio station WHCU, and send out a listserv
request for volunteers about 3 weeks before Lakefest. We need to
have interviews with appropriate newspapers about 3 weeks ahead
also.
14. Wegmans
Roxy will go to the manager of Wegmans and thank him/her for past
donations to Lakefest of gift certificates, and ask if this year
they could instead donate a large Birthday Cake – sheet cake
(10th anniversary of the organizations founding). She will also
inquire if they do photo-transfers of designs. Sharon could provide
logo if so. She will also ask if they could donate a dozen helium
balloons. Board member needs to be tasked to pick both up however.
NEXT TELECON:
Time June 14 12:30 pm - to coordinate with Diane,
who was ill today, and Julie, who was occupied during today’s
time. Judy M has indicated she cannot attend Thursday the 14th,
and Kari cannot generally attend.
